Motivation is a vital element in achieving the goals and objectives that have been set by the organization. It is also important mostly in a scenario where employees work in teams or independently. To maintain high levels of motivation in the workplace, the management must ensure that the employees' workplace goals and objectives are in line with the company mission and vision. This can trigger high productivity, enhanced quality of work, and more so large profit margins. In the modern world, motivation on work is becoming greatly important and has been adopted by many organizations.
Motivation can be classified as intrinsic or extrinsic. Intrinsic motivation is the kind of motivation that is within a person and it is due to pleasure of doing a particular activity and not from the external pressures. Extrinsic kind of motivation is a kind of motivation that emanates from the outside. Most of the common ones are money, force or even threats. Psychologically, extrinsic rewards are known to lead to over justification and therefore reducing intrinsic motivation.
From the self determination theory, extrinsic motivation can be developed internally by the individuals in question if the goals they want to meet are inline with their values and what they do believe in. this consequently leads to fulfillment of the fundamental psychological needs.
The incentive theory clearly indicates that, if a reward is given immediately after accomplishment of a given task, it triggers the behavior to reoccur again. This theory founds its basis of motivation by bringing employees close to the management. Goal setting theory is pegged on the notion that, people can have the positive drive to attain set goals. The accomplishment of the goal in such instance is a reward in itself. A goal that is efficient relies on proximity, its difficulty of easiness to be accomplished, and the specificity.
Motivation is a good way to put the entire human labor into action. For each and every goal to be effectively accomplished, there are three resources that must be incorporated and be balanced. These resources can be summarized as physical, financial forces, and human resources or human capital. Through motivation human resource can be effectively be utilized and be fully used. Human resource must be present since all other resources used in any organization cannot produce any results unless there is human labor that puts them into action. Therefore employees should be motivated in order to plan, follow policies, and the programs that have been set by the organization by making use of the available resources in the best way possible. In other words, it is not fully possible to utilize all resources to the fullest, if man is not induced to add their efforts in attaining the goals of an organization (Herzberg).
Motivation also enhances the employees' efficiency. The level of the employees not only depends on their qualifications and ability but also their willingness to perform the given task. It is therefore a crucial thing to bridge the gap between the willingness and the ability of the employees. Once the gap is reduced, there will be a positive change in the level of performance. This in turn will increase productivity since the workers will be able to use all their energy for the betterment of the services offered by the company. This would also result into reduced cost of operations, this is because once the employees find joy in accomplishing their respective tasks that has been set by the organization, they will happen to do more job and hence the money to add other employees will be cut since that will be definitely catered for. Once this gap is bridged there will also be an overall increase in the efficiency. Since tasks will be accomplished easily and in a short time.
Motivation leads to achievement of goals of the organization. Goals of each and every organization are only met if, the resources are utilized in the best possible way, if there exists a working environment that is co-operative, if all workers are goal oriented and if they work in a manner that has a purpose. Motivation is a key factor that enhances team work and hence creating a co-operative environment, since it also mobilizes human resources it therefore helps to make the other resources to be best utilized. Motivation also creates an environment where co-ordination and co-operation are key issues, which have to exist simultaneously (Vroom).
Motivation causes more friendly relationships to be built. A strong friendly relationship can be definitely created by motivation. This is a schemed approach by the managers of an organization to develop an incentive plan which will benefit the organization's employees. This can take the form of monetary and non monetary- in monetary incentives, the kind of benefits offered are in form of money where in non monetary forms the benefits are extended beyond money by either training or education. It can also take the form of offering promotion opportunities for the employees- this may be the case where the best performing employees is promoted to a higher level in the organization and hence becoming a motivational factor to the rest of the workers. There can also be disincentives for the employees who have proved to be inefficient in the way of their service delivery and accomplishment of goals. These inefficient employees may be either be penalized in their salary or even demoted. Once a disincentive is given, there are two possibilities that do sprout, that is either they may decide to quit the employment or may be triggered to work harder in order to avoid the same.
If these steps are taken, they would help in: effective co-operation which in returns ensures that there will be a stable working environment. It also ensures a reduction in the industry's disputes and unrest behavior of employees hence more output. It will also enhance the adaptability of the employees to changes which implies that in the times when a change will come in the organization, the employees will not be able to resist it. Due to the fact that there will be alignment of the interest of the company to those of the employees, motivation by incentive will be useful in providing smooth and sound goals. The effect of quality work being done will ensure that the profitability of the company will rise and hence the general performance of the company will go up (Accel-Team).
Motivation leads to a positive community image of an organization. This is as a result of the organization performing very well which is brought about by motivated workers. Motivated workers also behave and talks well about their company and therefore they will create a positive perception to the community in which the company or the organization operates. The companies after making immense profits, it may decide to channel back some of it to the community via corporate social responsibility, this will raise the image of the company and which in turn can affect the competing firms which operates in the same community.
Motivation can also lead to the stability of the work force. Stability is a very important ingredient from the reputational view and also the concern's goodwill. The employees can only remain loyal to an organization's management and be set to achieve its targets only if they feel that they are allowed to participate in the management process. The skills also obtained by the employees who have been offered as incentives are not only of great importance to them but also to the organization since organization is the one that will enjoy the benefit of skilled employees. This will lead to a good reputation in the market and as a result there will be attraction of qualified and competent people in to the organization. When motivation has been channeled to older employees, they tend to be so much resourceful in the sense that older employees are more experienced and the more the experience, the more the benefit to the organization (wiltshire).
Motivation of employees in their place of work is therefore essential to both the organization and the employees. Motivation can be then be termed as an organization's internal feeling that can only be comprehended by the management since they interact with the employees on day to day bases. Motivation is a continuous process that relies on needs, wants and desires. In case the process of motivation is discontinuous at any given time, the company can be in risk of failing to achieve its set objects. Therefore any if a company notes a decline in its productivity; it should consider using motivation to realize its set standards. Low motivation can therefore cause so many negative events to occur to an organization in both long and short term. An organization with unmotivated employees is at risk of employees resigning, delivery of low quality work, and even sometimes disruption of other employee's peace (Latham).
The effects of motivation are far felt by both the community, employees and the organization itself. Motivation is important to employees since: they will achieve their set goals, they will have job satisfaction, and they will develop self development, and ultimately one will always gain when they work in a team. To an organization, its effects are: more empowered teams, more profits, flexibility and originality during amendments and lastly it will cause optimistic and an attitude that is challenging in the work place.
